Overview
By default, coaches added to the Coaching Dashboard cannot set up new clients and will only be able to view and/or manage clients that they are explicitly granted access to. Only Dashboard Managers can add new clients, manage billing information across clients, and grant client access to other team members.
Dashboard Managers can give coaches User or Admin access to a client’s account. When given Admin access, you will be able to add seats for specific clients via the Coaching Dashboard. As an Admin, you will also have access to the Administration tab within a client’s account, which allows you to update general settings, invite users / manage their status, and access assessment-related data. If you’re given User access, you will have full access to specific clients’ data, but will not be able to add seats nor be able to access the Administration tab for those clients.
Continue reading to learn more about how individuals given Admin access can do the following:
- Add Seats: Add seats through time from the Coaching Dashboard.
- Invite Users: Invite users from within a client’s account, and manage their status.
- Access Assessment Data: View assessment-related data from within a client’s account, and have the ability to delete/reset assessment results and/or download a PDF of results.
Add Seats
Notes: Right now, you can only add seats for the Upfront Annual subscription, not the 30-day experience. Only Dashboard Managers & coaches given Admin access to a client’s account can add seats.
1. Navigate to the Coaching Dashboard and click on the “...” Actions menu for the client account you’d like to add additional seats to, and select “Add Seats.”
2. Select the number of seats you’d like to add to your account. You will be charged a prorated amount for the remainder of the subscription period.
3. An invoice will open in a new tab. You may be asked to re-enter your credit card information. If you’re having trouble with the invoice opening in a new tab or would prefer to pay later, please see our FAQs.
Invite Users
1. Click on the name of the client in your dashboard, which will open up a new tab.
2. Navigate to Administration > Manage Users and click “Invite” to get started. From here, you will be able to invite people individually or in bulk. A few things to note:
- You can resend an invite, if needed, at any time by selecting “Resend Invite” from the Actions “...” menu.
- You can also deactivate users at any time by clicking on the arrow next to where it says “Active” in the Status column.
If you are unable to invite a client because their email already exists, please reach out to us at support@principles.com and we will add them for you (in this case, it is likely that they have a pre-existing account).
Access Assessment Data
As an individual granted Admin access to a client’s account, you are able to access assessment-related data. Not only can you see who has / hasn’t completed their assessment, but you can download a PDF of any user’s assessment results and/or reset assessment results, if needed.
To access completion data…
1. Click on the name of the client in your dashboard, which will open up a new tab.
2. Navigate to Administration > Assessments. Here you will see a list of all users in your client’s account. You will see a link to “View Assessment” if the user has completed their assessment, or text that says “Not Started” if they have not completed their assessment.
To download a PDF of assessment results…
1. Click on the name of the client in your dashboard, which will open up a new tab.
2. Navigate to Administration > Assessments. Here you will see a list of all users in your client’s account. If a user has completed their assessment, you will see a link “PDF” next to their name. Click “PDF” to download a user’s results.
You can also download assessment results in bulk by selecting any number of users and selecting “Download Results.”
Delete / reset assessment results…
If one of your clients would like to delete, or reset, their assessment results, you may do so by following these steps:
1. Click on the name of the client in your dashboard, which will open up a new tab.
2. Navigate to Administration > Assessments.
3. Find the person you’re looking for and click “Delete Assessment Results” from the Actions “...” menu.
4. You will be asked to confirm, as this action cannot be undone. Type the word “DELETE” and select “Delete” to proceed.
Current Limitations
- Supporting multiple Dashboard Managers per Coaching Dashboard is currently a “beta” feature, since it is not fully supported yet / working in the way we would like it to. As such, we generally recommend having only one Dashboard Manager at this point, who can set up new client accounts, manage billing across client accounts, view / manage all clients, and permission team members to client accounts.
- We do not currently support the ability for you to give a client Administrative access. Only Dashboard Managers (and any coaches granted permission to manage a client’s account) will have Administrative access.
- Right now, you can only add seats for the Upfront Annual subscription, not the 30-day experience. If you need to add seats to a 30-day experience, please reach out to us at support@principles.com and we would be happy to assist you.
- For users with a pre-existing account with PrinciplesUs, you will receive an error message when trying to invite them to another account. Please reach out to us at support@principles.com and we will add them on our end. Once we add them, you can let them know they will have access to all of their accounts and can switch between them by clicking on their avatar and selecting “Switch Team.”
